Septic site-visit checklist
A septic visit can end with a written record of what was found, what could not be reached, and what to do next — or with an invoice and a verdict you cannot check. The difference is mostly preparation, and it is entirely within your control.
Print this and work through it. If you have filled in the project planner, most of the first section is already done.
Before scheduling
Most of what makes a visit productive is decided before anybody is booked. None of it requires touching the system.
- Gather whatever records you have — permit file, as-built or site plan, prior inspection reports, pumping invoices, repair paperwork, alarm documentation, property disclosure.
- Request the permit file from the health or environmental authority with jurisdiction if you do not have it. This is usually free and often the single most useful document.
- Decide what you actually want from the visit: understand a symptom, document condition, locate components, respond to an inspection finding, or price a specific piece of work.
- Write down what you have observed, when it started, and whether it comes and goes.
- Note any deadline — a closing date, a contingency period, a lender requirement.
- Note anything that changed recently: occupancy, an extension, drainage work, construction traffic, a power cut, heavy rain.
- Ask what services the provider actually performs. Not everyone does inspections, pumping, repair, design and installation.
- Ask whether an onsite visit or inspection has prerequisites — access, a pump-out beforehand, records, or somebody present.
- Ask what the visit will produce: a verbal opinion, a written report, a proposal, or all three.
Before they arrive
Practical preparation. Nothing on this list involves opening or uncovering anything.
- Make sure someone authorised will be there, or that access is arranged and agreed in advance.
- Secure pets somewhere they cannot reach the work area.
- Unlock gates, and move vehicles that block the route machinery would take.
- Make relevant indoor areas reachable — the fixtures you have described, and any basement or utility space.
- Identify where the electrical panel and any alarm or control panel are, without opening either.
- Have your records out, in a pile, rather than "somewhere in the loft".
- Have your written questions on paper. You will not remember them once the conversation starts.
- Leave the condition you called about exactly as it is. Do not hose down, cover, tidy or drain anything.
- Take dated photographs from a safe distance, in case it changes before they arrive.
- Reduce water use in the hours beforehand if a backup or an alarm is active.
During the visit
The questions that turn a visit into information. Ask a few of them properly rather than all of them quickly.
- Ask which components were observed directly.
- Ask which components could not be accessed or evaluated, and why. This is the gap that matters most and it is the easiest to leave unasked.
- Ask which findings are observations and which are interpretations of them.
- Ask for the measurements — liquid level relative to the outlet, sludge and scum depths, ponding depth, pump drawdown. Numbers are what a future visit can be compared against.
- Ask how any proposed work relates to the condition you called about.
- Ask what additional work, testing, records or access would be needed to answer what is still open.
- Ask them to show you where the components are, and record it from two fixed points.
- Ask what is excluded from anything they are proposing.
- Write down what you are told while they are still there.
Before accepting a proposal
A proposal is easier to read against a list than from a standing start. Every item here is somewhere a septic job commonly goes sideways.
- Confirm the scope: exactly which components are being repaired, replaced or left alone.
- Confirm the exclusions, in writing. A proposal without an exclusions section has exclusions that have not been written down yet.
- Confirm who is responsible for access, and what route machinery will take.
- Confirm restoration: backfill only, graded, topsoil, seeded, or none of those.
- Confirm who applies for any permit, who pays the fee, and who books the inspection.
- Confirm the payment schedule and what each stage is tied to.
- Confirm the change-order process — specifically, whether work stops for your approval before additional cost is incurred.
- Confirm the warranty wording: what is covered, for how long, and what voids it.
- Confirm what conditions could change the price or the scope once the ground is open.
- Compare proposals on equivalent requested work rather than on the total alone. A lower figure is most often a narrower scope.
Questions worth having on paper
Drawn from the same question set the planner uses. Each one records what its answer will not settle, because a question you over-read is worse than one you did not ask.
During the visit
- What kind of system is this, as far as you could tell today?
- Gravity, pumped, mound and advanced treatment systems have different parts, different maintenance obligations and different failure modes. Knowing which you have changes almost every other question.
- What the answer will not settle: Identifying the system type says nothing about its condition, and a type identified from surface evidence alone can be wrong.
- What system is this?
- Which components does this system actually have?
- Not every system has a filter, a distribution box, a pump or an alarm. Knowing what is there stops you paying for a service to something that does not exist.
- What the answer will not settle: A list of components is not an assessment of any of them, and a component not found is not the same as a component absent.

- Can you show me where each component is, so I can record it?
- The single cheapest thing you can take away from a visit. It makes every future service faster and stops you building over something that matters.

- Direct observation is the strongest basis a finding can have. Everything else in the report rests on it.
- What the answer will not settle: Observing a component does not mean every part of it was assessed — a tank opened at one lid can have a second compartment nobody saw.
- What did you actually see?
- Which components could not be accessed or evaluated, and why?
- A component that was not reached was not assessed. That gap is usually the most important line in a report and the easiest one to miss.
- What the answer will not settle: Something being inaccessible tells you nothing about its condition, good or bad.

- Which of your findings are observations, and which are interpretations?
- Both are legitimate and they carry different weight. "The liquid level was four inches above the outlet" is an observation. "The drainfield is failing" is an interpretation of it.

- A system assessed in a dry month at low occupancy is being asked for less than usual. It changes how much a clean result is worth.
- What the answer will not settle: Favourable conditions do not mean a finding is wrong, and unfavourable ones do not mean a system is failing.
- What did you actually see?
- Where was the liquid level relative to the outlet?
- A working tank sits full to the outlet. Above it means something downstream is restricting flow; below it can mean the tank is losing liquid. It is the single most informative measurement in a tank.
- What the answer will not settle: A normal level does not prove the field is healthy, and a high one does not identify which downstream component is restricting flow.

- What were the measured sludge and scum depths?
- Numbers rather than adjectives. Compared against the interval since the last pump-out, they tell you how fast solids actually accumulate for your household — which is how a pumping interval gets set by evidence instead of habit.
- What the answer will not settle: Depth measurements describe accumulation. They are not a measure of how well the system is treating wastewater.

- What condition are the inlet and outlet fittings in?
- A failed outlet fitting lets solids travel toward the part of the system that is most expensive to replace. It is one of the more consequential findings and one of the more repairable.
- What the answer will not settle: A failed outlet fitting does not establish how much has already reached the field. That needs separate evidence.
- What did your assessment of the drainfield actually consist of?
- The field is where treatment happens and where the money is. Whether it was probed, measured at observation ports, or looked at from the surface changes what any conclusion is worth.
- What the answer will not settle: A field that looks fine at the surface can be close to the end of its capacity. Surface appearance is weak evidence about soil a metre down.
- How does our water use compare with what this system was designed for?
- One of the few findings with a remedy that costs nothing. If the system is being asked for more than it was built for, that is worth knowing before anyone quotes.
- What the answer will not settle: Being within design does not prove the field has capacity left, and being over it does not prove the field is damaged.
- For each finding, is it based on records, direct observation, a test, or an assumption?
- The four carry very different weight, and a report rarely labels which is which. Asking once, plainly, resolves most of the ambiguity in a septic report.
- What the answer will not settle: Knowing the basis of a finding does not make the finding right. It tells you how much to rely on it.
- What would indicate that additional evaluation is needed?
- Turns an open question into something you can watch for, rather than something you either act on now or forget.
- What the answer will not settle: A list of triggers is a judgement about what to watch, not a prediction of what will happen.
- What records will I receive when the work is finished?
- An as-built, an inspection sign-off and dated photographs are worth more at the next sale than the memory of a job well done.
- What the answer will not settle: Receiving documentation does not establish that the work met any particular standard.
- What should I watch for between now and the next visit?
- Turns a homeowner from a passive observer into someone who can report something useful early.
- What the answer will not settle: A watch list is not a prediction, and nothing on it appearing does not mean nothing is changing.
- When should this be looked at again, and what should be measured next time?
- Measurements are only useful in pairs. Agreeing now what gets measured next time makes the comparison possible.
- What the answer will not settle: An interval agreed today is a judgement, not a rule.
- If something changes before then, what should I do and who do I call?
- The answer to this at three in the afternoon is much better than the answer you work out at three in the morning.
- What the answer will not settle: Having a number is not the same as having a response time.
The planner lets you pick from the full set and prints the ones you chose on your scope request, with space for the answers.
What to record afterwards
The visit is worth something in three years only if you wrote it down. Ten minutes afterwards is enough.
- The measurements, as numbers. “Sludge at nine inches” beats “looked fine” every time.
- What was not assessed. That list is your agenda for next time.
- Where the components are, measured from two things that will still be there.
- What you were told verbally, in your own words, dated.
- What was agreed about what happens next, and by when.
Common questions about septic visits
Do I need the project planner to use this?
No. The checklist stands on its own and you can print it and work through it. The planner makes it easier by organising your answers first, but nothing here depends on it.
Should I uncover the tank lids before they arrive?
No. Do not open, uncover, move or dig to anything. Tell them what you know about where the components are and let them decide how to reach them — access work is their job and it carries risks that are not worth taking on yourself.
Should I clean up the wet area or the odor before the visit?
No. Changing the condition you called about makes it harder to assess. If the ground is wet, keep people and pets off it and leave it as it is. Take dated photographs from a safe distance in case it changes on its own.
How many questions should I actually ask?
Fewer than you might think. A short list gets thorough answers; a long one gets brief ones. Pick the handful that matter for your situation and ask the follow-ups that come out of the answers.
What if they will not answer in writing?
That is worth noticing, but it is not necessarily a problem — many good contractors work verbally. What matters is that the proposal itself is written and complete. Write down what you were told and include it when you ask them to confirm the scope.
